Calendars & bookings
How to build a booking calendar in Sorraia, set your hours and form, and manage the appointments that come in.
Create a booking calendar
A calendar is one of the widget types you can build in Sorraia. Open the Calendar Builder to create one, give it a name under the Settings tab, and pick which verified site it belongs to. Save it once and you'll get an embed snippet — a small block of code you paste into your website — that renders the booking calendar wherever you drop it.
The builder is organised into tabs: Booking (your hours, slot length, and the questions you ask), Design (colours, font, and corner radius, with an option to apply your site's brand kit), and Settings (name, integrations, and advanced options). Use the Test as guest button in the header to open the live booking page in a new tab and walk through it yourself — bookings made there are sandboxed, so they won't create real appointments.
Set your availability
On the Booking tab, the availability panel shows your week at a glance. Click edit hours to open Schedule & Hours, where you set your working hours, tick the days you take bookings (Sunday through Saturday), choose your timezone, and pick a 12-hour or 24-hour time format.
One important thing to know: a calendar uses a single start and end time that applies to every working day you tick. There's no per-day range — if you work 9:00 to 17:00, that's the window on each open day. Back on the Booking tab you also set the Slot Duration (15, 30, 45, or 60 minutes), which decides how long each appointment is and how far apart the times on offer are spaced.
- Booking Rules (optional): buffers before/after each meeting, minimum notice, how far ahead people can book, a daily cap, and seats per slot for group events.
- Blackout Dates: block specific days like holidays or closures so nothing can be booked on them.
Build the booking form
Every calendar asks for a Name and an Email — these two are built in. You can rename them and drag them into any order, but they can't be removed or made optional, because they're what a booking needs to work. Add your own questions alongside them using the field types available: text, phone, text area, dropdown, and number.
The Form flow option controls when the questions are asked relative to the time picker. The default is to ask after a time is picked. You can switch to before the time (so a click on a slot books instantly), or split — qualifying questions first, then contact details after the slot is chosen.
How visitors book
On your site, a visitor sees a month calendar with bookable days highlighted. Times are shown in their own timezone (auto-detected, with a dropdown to change it). They pick a day, pick a time, fill in the form, and confirm.
After confirming, they land on a confirmation screen showing the time, an Add to Calendar button that downloads a calendar file (.ics) for Apple Calendar, Outlook, Gmail, and the like, and a Manage booking link. If the meeting has a video link, a Join video call button appears too. Sorraia also emails the booker a confirmation with that same .ics attached.
Connect Google Calendar & video
Under Settings, Advanced Settings, the Video & Calendar panel shows whether a calendar is connected and lets you choose a video provider for auto-generated meeting links. Connecting a provider is an account-level step done from your calendar connection settings.
Google Calendar is the connected provider available today — hook it up to sync bookings to your calendar and add a Google Meet link automatically. Outlook (Microsoft) and Zoom appear with a Coming soon badge and can't be connected yet. You don't need any of this to take bookings: whether or not a provider is connected, every booking still saves to your dashboard and everyone gets the .ics file.
Manage, cancel, or reschedule
Your appointments live on the Bookings page. Search by name or email, filter by site, calendar, status, or date, expand any row for full details, and export the current view as a CSV. Each booking carries a status you can set — Scheduled, Completed, Cancelled, or No-show. You can also have Sorraia email you whenever someone books, with the .ics attached; that's the Notify me by email when someone books toggle in Event & Behavior, on by default.
Bookers manage themselves through the link in their confirmation — no login needed. From it they can view the booking, cancel it, or reschedule to a new time on your calendar. Cancelling retires that link, while rescheduling keeps it live so they can change the time again later.
